1. About this policy

This Privacy Policy explains how EuroTech Appliance Services (Pty) Ltd (“we”, “us”) collects, uses, stores, and shares personal information when you use our website and client dashboard (“Platform”). “Personal information” includes information that identifies you (such as your name, phone number, email, and address).

2. What we collect

• Account & profile: name, email, phone number, service address, customer type (individual/business), and (optional) VAT/tax number.
• Bookings & jobs: problem descriptions, appliance details you provide, scheduling preferences, job status updates, technician notes.
• Media: photos or attachments you upload in your dashboard (e.g., appliance photos, proofs, reports).
• Invoices & payments: invoice totals, payment status, references, and payment confirmation details (we do not store full card details).
• Technical data: basic logs used for security and troubleshooting (e.g., timestamps, device/browser info).

3. Why we collect it

• To create and manage your account and profile.
• To accept, schedule, dispatch, and complete service jobs.
• To communicate with you about your booking (WhatsApp/phone/email) based on your preferences.
• To generate invoices, receipts, and service documentation.
• To improve the Platform, prevent fraud, and keep the system secure.

4. Lawful basis (POPIA)

We process personal information to perform our contract with you (service delivery), to comply with legal obligations (e.g., accounting records), and based on legitimate interests (security, fraud prevention, service improvement). Where required, we rely on your consent (e.g., optional communications beyond service delivery).

5. Sharing & processors

We may share personal information with service providers (“processors”) who help us run the Platform, such as hosting, databases, storage, analytics, and communication tools. These providers are only permitted to process your information to provide services to us.

6. Payments (Yoco)

If you pay an invoice or Priority/SLA online, you may be redirected to a Yoco-hosted payment page. Payment card details are processed by Yoco and are not stored by us. We may store payment status, references, and a payment link associated with an invoice/purchase for record-keeping and reconciliation.

7. Storage & security

• We use Firebase services (Authentication, Realtime Database, and Storage) to store and secure Platform data.
• Access is controlled using authentication and security rules. Admin access is restricted to authorised roles.
• We take reasonable measures to protect data, but no system is 100% secure.

8. Retention

We retain your information as long as needed to provide services, comply with legal obligations (e.g., accounting and tax), resolve disputes, and enforce agreements. You may request deletion of your account subject to legal retention requirements.

9. Your rights

Subject to applicable laws (including POPIA), you may request access, correction, deletion, or restriction of your personal information. You may also object to certain processing activities and withdraw consent where processing is based on consent.

10. Cookies & analytics

We may use cookies or similar technologies to keep you logged in, secure the Platform, and understand basic usage. If you enable analytics, anonymised usage statistics may be collected.

11. Children

The Platform is not intended for children under 18. If you believe a child has provided personal information, please contact us.

12. Changes

We may update this policy from time to time. The effective date at the top indicates the latest version.
